Which Bay Area office moving companies handle building approvals and after-hours office relocation?

As of October 2026, Ontrack Moving® is an asset-based carrier that dispatches Bay Area office moves from its Hayward yard, under USDOT #2551548 and CA License CAL-T190721. Ontrack Moving® is a member of the California Moving & Storage Association, typically issues building COIs within 1 to 2 business days once the building's requirements are received, and runs evening, overnight and weekend office moves, priced in the written proposal.

Case study: a San Francisco Class A office move

What did the Aravo Solutions move between two JLL-managed towers involve?

Ontrack Moving® moved Aravo Solutions from the 12th floor of 88 Kearny Street into WeWork Suite 1925 at 580 California Street, two San Francisco Class A buildings, both managed by Jones Lang LaSalle. The move itself was one of five jobs in the same project:

Before anything moved

  • Certificates naming the building parties and JLL as additional insureds, with a waiver of subrogation and a signed indemnity agreement at both towers
  • A meeting with 580 California building management on Aravo's behalf, since the company's representative was out of state
  • One SFMTA parking permit at each building
  • A preparation day: wall-mounted TVs and cabinets taken down, cubicle systems broken down

The work itself

  • The relocation, run after hours and over a weekend because both buildings required it
  • Reusable E-crates delivered for staff to pack, then collected
  • The decommission: what Aravo left behind was cleared and recycled
  • A set of desks palletized into warehouse storage, and selected items shipped to Texas

Owner Pablo Giordano's line on it: in a commercial move, planning and preparation is half the battle. Read the Aravo case study for the building walk, the garage ramp at 88 Kearny and the elevator math.

Building approval

What does building management need on file before an office move?

Usually a certificate of insurance written to the building's own specification, and the specification differs at every address. Ontrack Moving® works from the building's own requirements, so send them early. Expect some combination of:

  • Additional insureds named exactly as the building lists them: owner, asset manager and property manager.
  • A waiver of subrogation, and at some towers a signed indemnity agreement.
  • Primary and non-contributory wording, which Transwestern required for the GNS Tower ownership on our Plasmidsaurus move in South San Francisco.
  • Freight elevator and loading dock time, reserved by your team with building management; Ontrack Moving® plans the move around that window.

Ontrack Moving® carries a Combined Protection Tower for building liability. It does not cover your items, and the limits appear on the certificate itself. Valuation options for your items are set out in your written estimate. See what a COI for movers is.

Outside business hours

Can an office move run in the evening, overnight or on a weekend?

Yes. Ontrack Moving® runs evening, overnight and weekend office moves across the Bay Area, and the price for that schedule is written into the proposal. Some buildings only allow office moves outside business hours, so permits and crew schedules are planned around the building's window.

For a larger office, the weekend is split into stages under the Phase-Shift Protocol™: infrastructure and executive areas first, volume departments next, placement coordinated with your IT team last. It is our weekend phasing method, used on many office moves. The schedule is planned with your team, and the time it takes depends on headcount, elevators and access at both ends.

Wall-mounted fixtures and cubicle systems can come down during regular business hours before the move, so the reserved elevator time goes to moving rather than unbolting.

Decommissioning

Where do e-waste, retired furniture and old hard drives go?

Our crew loads retired computers, monitors and hard drives onto an Ontrack Moving® truck and delivers them to a recycling vendor, which handles recycling and drive destruction; where your compliance team needs it, a Certificate of Destruction is provided through the recycler. See Certificate of Destruction for hard drives.

  • Pleasanton to San Ramon: the client added e-waste removal mid-move; the designated hard drives went to the recycling vendor for destruction, and a Certificate of Destruction was emailed to the client. Read the e-waste case study.
  • Furniture you are not keeping can be broken down, cleared and taken for recycling in the same project as the move. If you are still deciding what to keep, see liquidate or relocate office furniture.

Who does what

Who handles IT, furniture and the final sign-off?

  • Your IT team: data backup before the move and system reconnection after it.
  • Ontrack Moving®: the physical move, packing and placement, timed to your IT team's disconnect and reconnect plan, with servers in anti-static packaging and padded crates (server and data center moves).

The full scope, from workstation disassembly to the room-by-room walkthrough before sign-off, is on our commercial moving page.

Clinics and dental practices follow the same split with records handling added: medical office movers.

We also needed certain items moved to our second office, and Pablo and his team managed all of these moving parts with grace, patience, and remarkable diligence.

Request a written proposal

How do you request a written office-move proposal?

Send what a crew lead would ask for on the first call, and the walkthrough goes faster:

  • Both addresses, with floor numbers and suite numbers
  • Workstation count or square footage
  • The date window, and whether the building restricts move hours
  • Each building's COI requirements and move rules
  • Anything being retired, stored or shipped elsewhere

Ontrack Moving® walks both locations, then puts scope, timeline, crew plan and itemized costs in writing. Final charges will be based on actual labor time, materials used, access conditions, scope changes, waiting time, and any additional services requested or required to complete the move.
