Commercial Moving Capabilities
Carrier vs. Broker: Why It Matters for Your Palo Alto Office
Hiring a direct carrier like Ontrack keeps the move with one company rather than third-party handoffs
| Factor | Ontrack (Carrier) | Moving Brokers |
|---|---|---|
| Documented Handling | Our own crew handles your office equipment from Stanford Research Park to your new space | Equipment transferred between unknown subcontractors at warehouses |
| Who moves your items? | Our own direct-hire employees with company uniforms and ID | Unknown subcontractors assigned at the last minute |
| Liability & Insurance | Direct coverage under our USDOT #2551548 with $10M general liability | Claims passed between broker and subcontractor |
| Price Transparency | Detailed written estimate from an on-site survey, with charges explained up front | Low-ball estimates, then price increases when your servers are on the truck |
| COI Issuance | Fast COI turnaround from our insurer, naming your building as additional insured | Delayed or incorrect COI from third parties |
| Accountability | One company, one point of responsibility for your entire office move | Finger-pointing between broker and unknown mover |
Ontrack is a licensed carrier (USDOT #2551548, CAL-T190721), not a broker. Your office equipment stays with Ontrack crews on Ontrack trucks.

Certificate of Insurance (COI)
Palo Alto commercial buildings and research parks typically require proof of insurance before movers can work on site. We've streamlined this process:
Building Coordination Experts
Palo Alto office buildings and research parks each set their own move requirements. We coordinate the following:
Freight Elevator Booking
We coordinate with building management to reserve freight elevator time, often required in advance for Stanford Research Park and Downtown Palo Alto office buildings.
Loading Dock Scheduling
Commercial buildings often share loading docks. We reserve time slots and coordinate with other tenants' moves to keep the process smooth.
Move Window Compliance
Many Palo Alto buildings restrict moves to specific hours. We work within building policies and campus regulations, and arrange the permits a move requires.
Federal Safety Record
Our safety record is public. Look it up.

Class A Building Compliance, Handled
Palo Alto's Class A office towers along Page Mill Road and Stanford Research Park typically set COI thresholds, freight elevator reservations, and dock scheduling that can stop an unprepared crew at the dock. We handle that paperwork before move day.
Freight Elevator Protocol
Multi-story office buildings along University Avenue and the Embarcadero Road corridor usually want freight elevator reservations booked well in advance. We submit reservation requests, floor protection plans, and move-window schedules as a single compliance package to building management.
- Pre-filed elevator reservation forms
- Masonite floor runners for lobby protection
- Elevator pad kits installed before first load
Dock Scheduling & COI
Shared loading docks around Stanford Research Park, Hillview Avenue and Page Mill Road call for precise scheduling. We reserve dock windows and turn the COI around quickly, backed by our $10M combined protection.
- Fast COI turnaround, emailed to property management
- $10M combined protection sized to the thresholds Class A buildings typically set
- Dock time-slot coordination with other tenants
Ontrack Moving® carries $10,000,000 building liability for Palo Alto Class A towers, with basic $0.60/lb cargo liability per article on your goods. We bring the COI and endorsements to the building before move day.
The 3-Day Phase-Shift: Low-Downtime Office Relocation
Our Phase-Shift Protocol splits your Palo Alto office move into three precision stages. Your team logs off on Friday with the aim of working again Monday, with the heavy work scheduled outside business hours.
Result: the disruptive work lands on the weekend. The move happens around your business, not through it.

These Are Our Trucks.
This Is Our Warehouse.
A dedicated fleet of Freightliner box trucks and support vehicles at our Bay Area headquarters. Every truck has our name on the side because we own them. No leased equipment, no borrowed rigs, no third-party logos showing up at your Palo Alto loading dock.
Engineering Around Constraints
Palo Alto's Stanford Research Park campuses and the older mid-rise buildings along University Avenue present sub-grade garages and constrained loading access that turn a standard office move into a logistics problem. We plan around these constraints on every survey.
Sub-Grade Garage Protocol
Multi-tenant office buildings along Page Mill Road and California Avenue often route commercial loading through sub-grade parking garages, so we check clearance and turning room on the survey. Our crews measure truck heights against posted garage clearances, stage long-carry equipment at garage level, and use freight dollies rated for incline transport to prevent server racks and heavy safes from shifting on grade changes.
Campus Loading Constraints
Stanford Research Park campuses along Hillview Avenue and Hansen Way often use recessed loading bays, and we survey approach angles and weight limits before scheduling. When moving server racks, UPS battery units, and lab equipment, our crews deploy wheel chocks and ratchet-strap tie-downs on the ramp itself, preventing 800+ lb assets from rolling during the transition between truck bed and dock level.
Frequently Asked Questions About Office & Commercial Moving in Palo Alto
Common questions from Palo Alto businesses planning an office or commercial relocation.
Ontrack Moving® quotes Palo Alto commercial moves from a free on-site survey rather than a phone estimate. Final charges will be based on actual labor time, materials used, access conditions, scope changes, waiting time, and any additional services requested or required to complete the move. Costs depend on office size, equipment complexity, floor levels, and timing. Sand Hill Road and Stanford Research Park offices often involve sensitive lab or IT equipment that requires specialized handling. We provide free on-site surveys for accurate estimates. Contact us to schedule a walkthrough and receive a detailed quote.
Yes. Ontrack Moving® schedules most Palo Alto commercial moves for evenings, starting at 6 PM, or on weekends. Stanford Research Park and Sand Hill Road offices typically prefer weekend moves to avoid disrupting operations. We coordinate with building management for freight elevator access during off-hours.
Ontrack Moving® issues Certificates of Insurance with fast turnaround during business hours. Our standard coverage includes $10M general liability and basic $0.60/lb cargo liability. If your building or research park requires specific endorsements (additional insured, waiver of subrogation), we can accommodate most requests. Just send us the building's requirements and we'll have the COI to property management before your move. Palo Alto research parks and University Avenue office buildings regularly request COIs with specific equipment liability riders.
Yes. Ontrack Moving® crews handle servers, switches, routers, UPS systems, lab instruments and multi-monitor workstations. We use anti-static packaging, specialized server carts, and climate-aware transport. For Stanford Research Park labs, we coordinate temperature-sensitive transport with your team using anti-static packaging and climate-aware protocols. Palo Alto research parks and Stanford-adjacent offices typically want documented handling procedures for sensitive IT equipment.

Ontrack Moving® is a carrier, which means it owns its trucks, employs its movers directly, and operates under its own USDOT authority. A broker sells the job and assigns it to an unknown subcontractor. This allows time for a site survey, building coordination (freight elevators, COIs, loading docks), and proper planning. Stanford Research Park and Sand Hill Road moves may require advance coordination with campus security and building management. Rush moves can sometimes be accommodated with 1-2 weeks notice.

Handled a third-floor apartment with care
Nelson and his team arrived promptly and worked very efficiently to move me out of a third floor apartment into a larger complex. I appreciated the time and care they took with my items and the thoroughness in checking that they'd successfully delivered everything afterwards. It was a long move due to all the items I had, but the team made it bearable and easy on me so I could focus on other priorities.

Special care over hardwood floors
Ontrack was responsive and very professional. Sam was very responsive to my emails and calls. He was able to estimate and schedule in a very short period of time. I needed to move a heavy BBQ. The move required special care since it needed to come through my home and over hardwood floors. Eduardo Argueta and Santiago Acevedo were very professional and took great care to not cause any damage.

Showed up at 8am on the dot
Had a move scheduled between 8-10am and they showed up exactly at 8am. Our lead was Hugo and he was extremely thorough in explaining the process. Hugo and Jose wrapped everything super speedy and were very careful with our items. Unfortunately, it started to pour when we arrived to our new apartment. They still were super efficient! I can't recommend them enough. This was the most stressful part about moving and Hugo, Jose and OnTrack made it easy!
