Ontrack Moving Privacy Policy

Ontrack Moving ("Ontrack," "we," "us," or "our") values your privacy. This Privacy Policy explains what information we collect through our website (the "Site"), how we use it, and the choices you have.

1) Notice at Collection (Summary)

When you submit information through our Site (for example, a quote request), we collect identifiers (such as your name, phone number, and email), move details (such as addresses and move date), and any information you include in your message. If you previously used our now-retired public AI Moving Estimator, we also collected the photos and walkthrough video you uploaded, which may show the interior of a home or business. We automatically collect device and usage data, including IP address and cookie identifiers, as described below. We use this information to provide quotes/estimates, respond to requests, schedule services, prevent spam/fraud, and improve our services.

2) Information We Collect

A) Information You Provide

• Contact information: name, phone number, email address.
• Move information: pickup and delivery addresses, move date, move size/inventory details, access notes (stairs, elevators, long carry), and any notes you choose to share.
• Communications: messages you send us through forms, email, chat, or other Site features.
• Audiovisual content: photos and walkthrough videos previously uploaded to our retired public AI Moving Estimator or otherwise sent to us, which may show the interior of a home or business, furniture, boxes, and access conditions.

B) Information Collected Automatically

When you use the Site, we and our partners may collect:

• Device and usage data: IP address, browser type, device identifiers, pages viewed, approximate location (inferred from IP address), and referring/exit pages.
• Cookies and similar technologies: used for basic Site functions, analytics, and advertising/measurement.

3) How We Use Information

We use information to:

• Provide quotes/estimates and respond to requests.
• Schedule and perform moving, packing, storage, and related services.
• Communicate with you, including confirmations and service updates.
• Operate, maintain, and improve the Site.
• Detect and prevent spam, fraud, and abuse.
• Comply with legal obligations and enforce our agreements.

4) AI Tools and Video Estimates

The public AI Moving Estimator is retired and no longer accepts uploads. The following information continues to apply to media previously submitted through that tool:

• Your uploaded photos and video are processed by an automated system, including AI services provided by third party technology providers, to identify visible items and group them by room. This processing helps prepare a first draft only.
• An Ontrack Moving® estimator reviews the draft inventory before any quote is prepared. The AI draft is not a final quote and is not a decision made solely by automated means.
• You should upload only footage you have the right to record and share. Please avoid filming other people where possible.
• We may retain your uploaded photos and video, along with information about your completed move, to review and improve the accuracy of our own estimating tools. We do not sell this content, and we do not share it with third parties for the purpose of training their models. Media sent to our AI provider for processing is deleted from that provider's systems after the draft inventory is prepared.
• We store uploaded photos and video with our hosting and storage providers. You may request deletion of your uploaded media as described in the Data Retention and California Privacy Rights sections below.

5) Cookies, Analytics, and Advertising

A) Google Analytics

We use Google Analytics to understand how people use our Site. Google Analytics uses cookies and similar technologies to collect usage information and measure interactions on our Site. We also use Ahrefs Web Analytics to measure page visits.

B) Google Ads (Including Remarketing and Conversion Tracking)

We may use Google Ads tools to measure performance (for example, conversions) and to show ads to people who have visited our Site (remarketing). Google and its partners may use cookies or device identifiers to show ads based on past visits.

C) Meta (Facebook/Instagram) Pixel

We may use the Meta Pixel to measure ad performance and help show ads to people who have visited our Site. The Pixel may use cookies and similar technologies and may collect information about your device and your activity on our Site.

D) OpenAI (ChatGPT Ads) Pixel

We use an OpenAI advertising pixel to measure the performance of ads we run in ChatGPT. The pixel may use cookies and similar technologies and may collect information about your device and your activity on our Site. When you submit a quote request, we also send OpenAI a server-side measurement event recording that a request was submitted. E) First-Party Attribution Cookies

Our Site sets its own first-party cookies to understand which marketing source an inquiry came from. When you arrive, cookies named om_at1 and om_atl record the page you landed on, the website that referred you, and any campaign labels in the link you clicked. If you arrived from an ad, cookies named om_gclid, om_wbraid, om_gbraid, om_msclkid, or om_fbclid store the ad click identifier. These cookies last up to 90 days, are readable only by our Site, and are not set by or shared with advertising networks. If you submit a quote or contact form, this information is stored with your inquiry and disclosed to our customer relationship management provider, acting as our service provider, to help us respond and to measure our marketing.

6) How We Share Information

We do not sell your personal information for money. California law also treats disclosing personal information for cross-context behavioral advertising as "sharing," whether or not any money changes hands. The advertising cookies and pixels described in Section 5 may involve sharing under that definition. You can limit this using the controls in Section 8, or by emailing us using the request method in Section 9.

We may share information in these situations:

• Service providers: vendors that help us operate the Site and business (for example, hosting, analytics, communications tools, and artificial intelligence providers that process form submissions and uploaded media on our behalf, including to route and screen enquiries). They may only use information to perform services for us.
• Advertising/measurement partners: Google, Meta, and OpenAI may receive information through cookies/pixels for measurement and advertising features you enable (described above).
• Legal and safety: if required by law, or to protect rights, safety, and security, or prevent fraud.
• Business transfers: if Ontrack is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

7) SMS / Text Messaging Program Terms

By checking the optional SMS consent box on our website forms, you agree to receive text messages from Ontrack Moving® about your moving quote, booking, payments, scheduling, and service updates. Providing your mobile number by itself does not opt you in to text messages, and consent is not a condition of any purchase or service. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance, or call (888) 914-8787. Ontrack Moving® does not sell, rent, or share your mobile number or SMS consent with any third parties or affiliates for marketing purposes. Mobile information is used only to provide Ontrack Moving® communications related to quote requests, estimates, bookings, scheduling, payment and deposit notices, dispatch updates, reminders, and customer-care support. 8) Your Choices

A) Cookie Controls

You can control cookies through your browser settings. If you block cookies, some parts of the Site may not work properly.

B) Opting Out of Personalized Ads

C) Industry Opt-Out Tools

D) Do Not Track

Some browsers offer a "Do Not Track" signal. Because there is not a consistent industry standard for responding to these signals, we do not currently respond to them.

9) California Privacy Rights (CCPA/CPRA)

If you are a California resident, you may have the right to:

• Know what personal information we collect, use, and disclose, and why.
• Request deletion of personal information (with certain exceptions).
• Correct inaccurate personal information.
• Not receive discriminatory treatment for exercising any of these rights.
• We do not knowingly sell or share the personal information of consumers under 16 years of age.
• Opt out of the "sale" or "sharing" of personal information (as defined by California law), including via a user-enabled Global Privacy Control (GPC) signal, where required.

We may need to verify your identity before completing certain requests. You may also use an authorized agent where permitted by law.

10) Bot Protection

We use Cloudflare Turnstile and Google reCAPTCHA to help prevent spam and abuse on our forms and tools. These services may collect device and usage signals, including your IP address, to distinguish human visitors from automated traffic. Google reCAPTCHA is used on our quote and contact forms and is governed by Google's own privacy policy and terms. Cloudflare's handling of this information is governed by its own privacy policy:

11) Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy. In general:

• Quote/inquiry records: up to 24 months
• Uploaded photos and video: up to 6 months, so we can review the move against our estimate to improve our estimating tools, unless a longer period is needed to complete your move or as required by law. You may request earlier deletion at any time, regardless of where you live, by emailing us or calling the toll-free number in the Contact Us section.
• Customer service and transaction records: up to 7 years

We may keep information longer if required by law or needed for legal, tax, or accounting purposes.

12) Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No system is 100% secure, so we cannot guarantee absolute security.

13) Children's Privacy

Our Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

14) Third-Party Links

The Site may include links to third-party websites. Their privacy practices are governed by their own policies, not ours.

15) Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective date above.
