Ontrack Moving Privacy Policy

Ontrack Moving ("Ontrack," "we," "us," or "our") values your privacy. This Privacy Policy explains what information we collect through our website (the "Site"), how we use it, and the choices you have.


1) Notice at Collection (Summary)

When you submit information through our Site (for example, a quote request), we collect identifiers (such as your name, phone number, and email), move details (such as addresses and move date), and any information you include in your message. We use this information to provide quotes/estimates, respond to requests, schedule services, prevent spam/fraud, and improve our services.

2) Information We Collect

A) Information You Provide

  • Contact information: name, phone number, email address.
  • Move information: pickup and delivery addresses, move date, move size/inventory details, access notes (stairs, elevators, long carry), and any notes you choose to share.
  • Communications: messages you send us through forms, email, chat, or other Site features.
  • Audiovisual content: photos and walkthrough videos you upload to our AI Moving Estimator or otherwise send to us, which may show the interior of a home or business, furniture, boxes, and access conditions.

B) Information Collected Automatically

When you use the Site, we and our partners may collect:

  • Device and usage data: IP address, browser type, device identifiers, pages viewed, approximate location (inferred from IP address), and referring/exit pages.
  • Cookies and similar technologies: used for basic Site functions, analytics, and advertising/measurement.

3) How We Use Information

We use information to:

  • Provide quotes/estimates and respond to requests.
  • Schedule and perform moving, packing, storage, and related services.
  • Communicate with you, including confirmations and service updates.
  • Operate, maintain, and improve the Site.
  • Detect and prevent spam, fraud, and abuse.
  • Comply with legal obligations and enforce our agreements.

4) AI Tools and Video Estimates

Our AI Moving Estimator lets you upload photos or a walkthrough video so we can prepare a draft inventory. When you use this tool:

  • Your uploaded photos and video are processed by an automated system, including AI services provided by third party technology providers, to identify visible items and group them by room. This processing helps prepare a first draft only.
  • An Ontrack Moving® estimator reviews the draft inventory before any quote is prepared. The AI draft is not a final quote and is not a decision made solely by automated means.
  • You should upload only footage you have the right to record and share. Please avoid filming other people where possible.
  • We may retain your uploaded photos and video, along with information about your completed move, to review and improve the accuracy of our own estimating tools. We do not sell this content, and we do not provide it to third parties to train their own models.
  • We store uploaded photos and video with our hosting and storage providers. You may request deletion of your uploaded media as described in the Data Retention and California Privacy Rights sections below.

5) Cookies, Analytics, and Advertising

A) Google Analytics

We use Google Analytics to understand how people use our Site. Google Analytics uses cookies and similar technologies to collect usage information and measure interactions on our Site.

B) Google Ads (Including Remarketing and Conversion Tracking)

We may use Google Ads tools to measure performance (for example, conversions) and to show ads to people who have visited our Site (remarketing). Google and its partners may use cookies or device identifiers to show ads based on past visits.

C) Meta (Facebook/Instagram) Pixel

We may use the Meta Pixel to measure ad performance and help show ads to people who have visited our Site. The Pixel may use cookies and similar technologies and may collect information about your device and your activity on our Site.

6) How We Share Information

We do not sell your personal information for money.

We may share information in these situations:

  • Service providers: vendors that help us operate the Site and business (for example, hosting, analytics, communications tools). They may only use information to perform services for us.
  • Advertising/measurement partners: Google and Meta may receive information through cookies/pixels for measurement and advertising features you enable (described above).
  • Legal and safety: if required by law, or to protect rights, safety, and security, or prevent fraud.
  • Business transfers: if Ontrack is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

7) Your Choices

You can control cookies through your browser settings. If you block cookies, some parts of the Site may not work properly.

D) Do Not Track

Some browsers offer a "Do Not Track" signal. Because there is not a consistent industry standard for responding to these signals, we do not currently respond to them.

8) California Privacy Rights (CCPA/CPRA)

If you are a California resident, you may have the right to:

  • Know what personal information we collect, use, and disclose, and why.
  • Request deletion of personal information (with certain exceptions).
  • Correct inaccurate personal information.
  • Opt out of the "sale" or "sharing" of personal information (as defined by California law), including via a user-enabled Global Privacy Control (GPC) signal, where required.

We may need to verify your identity before completing certain requests. You may also use an authorized agent where permitted by law.

9) Bot Protection

We use Cloudflare Turnstile to help prevent spam and abuse on our forms and tools. Cloudflare may collect device and usage signals to distinguish human visitors from automated traffic. Cloudflare's handling of this information is governed by its own privacy policy:

10) Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy. In general:

  • Quote/inquiry records: up to 24 months
  • Uploaded photos and video: up to 6 months, so we can review the move against our estimate to improve our estimating tools, unless a longer period is needed to complete your move or as required by law. You may request earlier deletion.
  • Customer service and transaction records: up to 7 years

We may keep information longer if required by law or needed for legal, tax, or accounting purposes.

11) Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No system is 100% secure, so we cannot guarantee absolute security.

12) Children's Privacy

Our Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

13) Third-Party Links

The Site may include links to third-party websites. Their privacy practices are governed by their own policies, not ours.

14) Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective date above.
